Privacy Notice

This notice explains how Gen-A Group Ltd, trading as OmniTech Design, collects and uses personal information when you visit this website or contact us about our services.

Information we collect

We collect information you give us through our contact and quote forms, including your name, business name, email address, current website, project requirements, budget range and timescale. We also record the submission time, source page, marketing choice and—where supplied through a campaign link—limited campaign attribution.

Please do not send passwords, financial information, special-category personal information or sensitive project files through the initial enquiry forms.

How we use it and our lawful bases

Enquiries and requested quotations: We use information supplied through enquiries and quote requests to understand what you are asking us to do, respond to you and take appropriate steps before potentially entering into a contract. Depending on the circumstances, this may be necessary to take steps at your request before entering into a contract or may be based on our legitimate interests in responding to and managing genuine business enquiries.

Providing contracted services: Where you become a client, we use appropriate information to deliver and manage the services you have asked OmniTech Design to provide. The relevant lawful basis may include performance of a contract.

Business administration and record keeping: We may process appropriate information where reasonably necessary for legitimate business administration, customer management and record keeping.

Legal and regulatory obligations: We may process and retain information where necessary to comply with applicable legal, tax, accounting or regulatory requirements.

Security and prevention of misuse: We may process limited information where reasonably necessary to protect the website and business systems, prevent misuse or fraud, identify security threats and investigate inappropriate activity. This may be based on our legitimate interests in protecting the business and its systems where those interests are not overridden by your rights.

Optional email marketing: Marketing emails are sent only where there is an appropriate lawful basis. Where you actively opt in through the website, we record your consent and make it easy for you to withdraw it.

Marketing choices

Submitting an enquiry does not automatically subscribe you to marketing. The marketing checkbox is optional, separate from the enquiry, unticked by default and is not required to submit the form.

Where you opt in, we record the marketing preference and, where technically possible, the date and time, source and wording or version of the consent statement. If you do not opt in, your enquiry will still be processed normally. You can unsubscribe or object to direct marketing at any time.

Who processes information for us

OmniTech Design uses selected service providers to operate the website, manage enquiries and communicate with prospective customers. These providers process information on our behalf and in accordance with our instructions where they act as our data processors.

HighLevel: HighLevel is used as OmniTech Design's customer relationship management (CRM) platform. Information submitted through an enquiry or quote form may be stored and managed within HighLevel so we can review and respond to the enquiry, maintain appropriate enquiry records, manage follow-up and the prospective customer journey, and record marketing preferences where applicable. HighLevel acts as a service provider and data processor on OmniTech Design's instructions; it does not determine why OmniTech Design processes this information.

Google Workspace: Google Workspace is used for business email and communications. Enquiry notifications and subsequent email correspondence may therefore be processed through Google's business email services.

International transfers

Some service providers may process personal information outside the UK. Where this happens, we will ensure that an appropriate lawful transfer mechanism or safeguard is in place where required.

Our production providers and relevant safeguards will be kept under review and this Privacy Notice will be updated where necessary.

How long we keep information

Prospective customer enquiries: Where an enquiry does not result in a customer relationship, personal information relating to that enquiry will normally be retained for 12 months from the last meaningful interaction with the prospective customer. After that period, it should be deleted or anonymised unless there is a legitimate reason or legal requirement to retain it for longer.

Customers and project records: Information relating to customers and completed projects may be retained for as long as reasonably necessary to deliver the contracted service, provide agreed support, maintain project and business records, manage the ongoing customer relationship, respond to questions or complaints, resolve disputes, protect legitimate business interests, and meet applicable legal, tax and accounting obligations. This does not mean that all project information is kept forever.

Accounting and transaction records: Invoices, accounting information and transaction records may need to be retained for longer periods where required by UK company, tax or accounting law. This does not mean that every piece of customer correspondence is automatically retained for the same period as financial records.

Marketing information: Where you actively opt into marketing, we retain your marketing contact details while you remain appropriately subscribed. If you unsubscribe or object, we stop sending marketing and may retain only a minimal suppression or do-not-contact record where necessary to respect your preference.

Your rights

Depending on the circumstances and the lawful basis being used, you may have rights to access, correct, erase or restrict the use of your information, object to processing, or obtain portable data. These rights do not all apply unconditionally in every situation.

You can ask us to stop using your information for direct marketing at any time. Where processing relies on your consent, you can withdraw that consent at any time.
